01Integration & setup
Which booking system do I need?
Smoobu or Guesty. Both consolidate your bookings from Airbnb, Booking, VRBO and others, and GuestHive builds on top — with the same scope either way. Using a different system? Write to support@guesthive.ai — we will find a solution together. A Lodgify connector is planned.
What do I need for arrival detection?
Automatic arrival detection requires a Nuki Smart Lock. GuestHive detects when your guest actually enters the code and sends the welcome message at exactly that moment.
What if I have not had many guests yet?
GuestHive ships with base knowledge from real host conversations via swarm intelligence. It then learns your property from your existing messages, and improves with every guest. Correct it once, it remembers forever.
02Trust, control & data
Is my guest data safe?
Your data is stored on servers in Germany and encrypted in transit and at rest. To write replies, GuestHive uses a language model from Anthropic in the USA, covered by the EU Standard Contractual Clauses. Your messages are not used to train AI models. Swarm intelligence only learns from anonymised data.
Do I stay in control?
Always. Choose between Co-Pilot and Autopilot: on Co-Pilot nothing reaches your guest until you release it. One click switches the mode or pauses GuestHive — your data and training are preserved.
What happens when the AI is unsure?
GuestHive recognizes uncertainty and brings you in via Telegram or email. You answer once, it remembers next time. If something critical goes unanswered, it does not just resend a message: it calls you.
Does every alert come to me?
No. Laundry goes to your laundry service, cleaning questions to your cleaner, and only what truly needs you reaches you.
03What the AI runs for you
How does automatic laundry pickup work?
Set a threshold per property (for example six beds slept in). GuestHive tallies across checkouts and messages your laundry service automatically once it hits the threshold, with the bed count and a date selection by tap. One tap on Picked up resets the counter.
How does GuestHive handle late checkouts?
When a guest asks, GuestHive first checks whether anyone arrives that day. If it fits, it asks your cleaner with one tap and confirms the guest. If not, it offers graduated times. You do not have to do a thing.
Does GuestHive only answer messages, or more?
More. It runs the whole operation: counts laundry and dispatches your service, settles late checkouts with your cleaner, sends PDF invoices, and reaches out only when something needs you.
Can GuestHive create invoices?
Yes. When a guest asks for an invoice in the chat, GuestHive gathers the details, generates a clean PDF and sends it from your own email address.
Does GuestHive flag risky bookings?
GuestHive checks signals on every booking: very short lead time, weekend arrival, local phone number. If several apply, it politely points to your no-party policy and asks about the purpose of the stay before anything happens.
What if a lock battery runs low?
Battery levels for your smart locks show on the dashboard. GuestHive warns you via Telegram before a battery dies, so no guest ever stands in front of a door that will not open.
